Job Purpose
Perform administrative support by performing administration tasks related to OPS L&D, providing training support, maintaining training database and reports, as well as ensuring compliance of company policies and procedures by SOL members and learners, to ensure smooth operations of OPS L&D kingdom wide.
Administration:
- Ensure training facilities in all the regions are operating well by regular monitoring & checking, reporting, and following up any maintenance and supplies issues to ensure the facilities are ready to be used for training and development events.
Petty Cash:
- Process petty cash requests by recording expenses, getting the approval and ensure invoices signed by authorized manager, and submit to finance for processing to ensure compliance to company policy & procedures
Reports:
- Provide relevant training reports by consolidating the data from all regions that tracks attendees, completion of programs, and maintains training documentation based on regulations and company policy using the dashboard/LMS and standard templates, to update relevant stakeholders with the training progress, utilization of resources and performance
Training Support:
- Perform training support by coordinating with the regional training center on the training room reservation, sending training invites, preparing the room for training, compile training photos, compiling assessment results (including needs analysis, printing the certificates and arrange the stationaries and office supplies to ensure smooth delivery of training programs by the trainers
Attendance/Eltizam Web Manager:
- Maintain Eltizam/attendance record for all OPS L&D members by checking and verify the record, follow-up to identify the reason for discrepancy (if any), before making any changes upon approval by respective manager, to ensure accuracy of attendance/Eltizam record
Purchase Request & Invoice Processing:
- Raise the request for the purchase of assets and expenses related to OPS L&D, by raising the purchase request & receiving confirmation using the system, as well as following-up with the necessary departments to ensure completion of purchase request and invoice processing
Policies & Procedures:
- Ensure implementation of procedures and controls covering all areas of OPS L&D activities to ensure all relevant procedural requirements are fulfilled while delivering a quality, cost-effective service to customers

Education
College/University Diploma in any field
Minimum Experience:
- Minimum 3 years of overall working experience with at least 1 year experience in office administration

- Intermediate level of MS Office package, particularly MS Excel, MS PowerPoint & MS Words
